Meeting Notes December 2025

    December 15, 2025

    Call to Order:   
    The SHRM Salem board planning meeting began at 3:07 pm at Salem Electric. It was presided over by Kansas Guthrie, president and recorded by Heidi Hand, secretary. 

    Introductions:   
    The board welcomed new members Kirsty and Cecelia. Each board member introduced themselves.

    Calendar Planning:   
    Kansas wants to create a board calendar of all 2026 meetings. The group reviewed SHRM membership meetings, board meetings, OR Council, and NHRMA dates. Kansas will send out a monthly calendar summary. 

    The board decided to continue monthly board meetings on the third Wednesday at 4 pm. Meetings will alternate between virtual and in person. Potential meeting locations are Willamette ENT, IKE box, and Broadway Commons. In months where the second Tuesday and the third Wednesday are in the same week, the board may elect to hold a meeting before the membership meeting. Or, the Wednesday board meeting will be held virtually that month.

    During the summer there will be a July membership meeting but not an August meeting. In September the membership meeting will be moved to the third Tuesday due to the timing of the NHRMA Conference. We will look at holding a second membership event in early November. The board scheduled a strategy session on November 18, 2026. There will not be a December membership meeting. The holiday dinner will be December 16.

    Gayle will look into holding a membership event at the new winery on Highway 22. The group discussed having a joint event with the Yamhill chapter.

    Chamber of Commerce:   
    The board discussed the benefits of joining the Salem Area Chamber of Commerce to engage with the business community and promote SHRM Salem. Deborah made a motion to join the Chamber in January at the $875 Connector Level. Gayle seconded and the motion passed unanimously. 

    Other Discussion:
    Deborah discussed membership directors from different chapters meeting to share ideas.
    Deborah drafted a new membership survey. She will send it to the group for feedback. Kansas stated she could send it through Survey Monkey. We will ask the membership about preferred meeting times to see if there is any interest in morning or later afternoon meetings.

    Position Descriptions:   
    Each board member was asked to sign their position description and attestation form. There are Oregon SHRM descriptions and previously drafted chapter descriptions. Both will be reviewed and updated to meet SHRM criteria.

    Elections:   
    The board held a vote for the position of President Elect. Heidi and Gayle had submitted their names for the position which means becoming President in 2027. After a vote by the board Heidi was elected President Elect. Priya made a motion to approve the slate of board positions for 2026 as indicated in the attendance list. Kirsty seconded the motion and it passed unanimously.

    Other Business:
    •    The chapter will request PO Box keys and files from the current treasurer to facilitate transitioning the role to Priya.
    •    A year end dinner for current board members is scheduled for December 17 at Amadeus.
    •    Priya will make some initial edits to the travel policy.

    Adjournment:
